What is email migration and how to transfer all emails from one provider to another?

Email migration is the process of transferring all messages, folders, contacts, and settings from one mail server to another. This task often arises when changing corporate hosting, moving to a custom domain, or abandoning the services of an unreliable free provider. A successful data transfer requires careful planning and an understanding of mail system architecture.

To perform the migration, the IMAP protocol is most commonly used, allowing the state of mailboxes to be synchronized between the old and new servers. Specialized utilities and services, such as imapsync, exist to automate this process, carefully copying the nested folder structure and the read status of each email. Administrators of large systems use server-side migration tools integrated into hosting control panels.

Before starting the transfer procedure, it is recommended to conduct a full audit of the old mailbox. Deleting unnecessary newsletters, cleaning the spam folder, and archiving outdated files will significantly reduce the total amount of data and speed up the migration process. This is especially relevant when the new email provider has disk space limitations.

After data copying is complete, you need to redirect your domain's MX records to the new server so that all new mail goes there.
